Managing your subscription

Where to find Billing, how to upgrade or downgrade, adding modules and add-ons, watching usage, invoices and payment mandates.

Everything about your subscription lives on one page: Billing, reached from your account menu. It is not under Settings.

Only a clinic admin can see it.

What the Billing page shows

  • Your active module subscriptions and the tier of each.
  • Any add-ons currently switched on.
  • Usage against your allowances for the current period.
  • Your invoices.
  • Your payment mandate.

Upgrading or downgrading

Choose the tier you want and confirm. Changes are pro-rated and take effect immediately — no downtime, no migration, no rebuilding anything. Your data stays exactly where it is.

Upgrade when you are consistently near an allowance. Downgrade if you over-estimated; check the lower tier's limits against your actual numbers first, which the usage section shows you.

Adding a module

Modules are subscribed to independently. Adding Pharma does not change your OPD plan or its price — you get a second line on the bill.

Add a module only when you will actually use it. A dormant module is a monthly cost for nothing.

Add-ons

Add-ons attach to a module and are billed on top of it. They can be switched on and off as your needs change.

Some are not available for self-service purchase. If you want one that is not listed, talk to us. See Add-ons and usage limits.

Watching your usage

The usage section shows how much of each allowance you have consumed this period.

Worth a look once a month. If you are regularly at 90% of appointments-per-day, you are one busy week from paying overage, and a tier change is probably cheaper.

Invoices

Invoices are listed on the same page and can be opened or downloaded. Send them to your accountant from there rather than forwarding payment emails.

Payment method and mandate

Subscription payments run on a mandate you authorise once. If a payment fails — an expired card, an exhausted mandate — you are notified and can fix it from the Billing page.

Do not ignore those notices. Repeated failures put your subscription at risk, and the fix is usually thirty seconds of re-authorisation.

Cancelling

To stop a module or cancel entirely, contact us rather than letting a payment fail — a lapsed subscription and a cancelled one are handled differently, and your data deserves the deliberate route.
